About these terms
Version 2026-10-24 | Last updated . Afro Fashion House Inc.
These Terms cover the buyer's use of AfroFashionHouse (AFH), including accounts, measurements, individual and group purchases, communications, AI tools, delivery, complaints and account closure. They do not replace the Privacy Policy or the separate Vendor Terms. Read the whole document, including the schedules. In particular:
- Made-to-order garments are produced using the specifications attached to the purchased item. Editing or deleting a saved measurement profile does not change an existing order.
- Each physical piece in a new multi-piece purchase is tracked separately. Delivery and customs charges may also be assessed per piece and are shown in the checkout total.
- AFH uses order measurements, recorded changes and relevant order communications for hub quality control. Inspection reduces risk; it does not eliminate every possible defect or prevent a later valid complaint.
- There is no automatic change-of-mind return entitlement for a correctly made custom garment. AFH does not arrange, perform or pay for alterations caused solely by inaccurate buyer measurements or instructions. Voluntary cancellation after actual production begins does not qualify for a garment-price refund under the discretionary policy; delivery and import charges are refundable on an approved cancellation before onward shipment. After onward shipment, no voluntary cancellation refund is offered. Mandatory rights and valid remedies for defects, incorrect items, non-delivery and other protected claims remain available.
- The AFH import charge shown at checkout is a fixed charge for that purchase, not a deposit reconciled to the customs authority's eventual assessment. AFH may change its price for future purchases, not retrospectively increase a paid order's charge. The no-reconciliation rule does not cancel an expressly available cancellation refund or a legally required refund.
- AI try-on is a generated illustration, not a fit guarantee or a photograph of the garment you will receive. AI measurement estimates must be checked before use. AI features are optional.
- Buyer-vendor chat must not be used to exchange private contact details, identity documents, payment information or off-platform contact invitations. Group discussions have a different audience and should not contain unnecessary personal information.
- Administrative delivery confirmation, including automatic confirmation, does not waive a valid complaint. Vendor payment after hub inspection does not remove your eligible remedies.
- AFH coordinates remedies for loss or damage before properly completed delivery. A carrier claim does not suspend an owed buyer remedy indefinitely. Safety recalls are handled separately from voluntary cancellation and ordinary fit complaints.
- AFH may restrict or disable an account for substantiated misconduct or a genuine safety, security or legal concern. Account closure or restriction does not confiscate a refund you are lawfully owed.
- Colorado law and applicable US federal law govern, subject to mandatory protections that apply to you. These Terms do not impose mandatory arbitration or a class-action waiver.
- Clauses 29 and 30 address service limitations, foreseeable losses and events outside reasonable control. They do not exclude liability or consumer rights that cannot lawfully be excluded.
1. Parties and Transaction Roles
1.1 Your contracting company.
These Terms are between you, the buyer using the account, and Afro Fashion House Inc., a company incorporated in Colorado, United States, with legal business and notice address 870 South Colorado Blvd. #1041, Denver, CO 80246, United States (AFH, we, us or our). Our website is afrofashionhouse.com. This legal-notice address is not a return address unless AFH specifically authorises it for your return.
1.2 Services and participants.
The Platform includes AFH's buyer app, website and enabled order, payment, messaging, group-event, inspection-coordination and support services. A Vendor is the tailor or fashion business making an item. The Hub is the receiving and inspection facility designated by AFH. A carrier transports items; a payment processor handles payment services. A displayed vendor brand identifies the maker but does not, by itself, settle the legal identity of the seller.
1.3 Marketplace, payments and imports.
The identified vendor sells the garment directly to you through the AFH marketplace; Afro Fashion House Inc. does not buy the garment for resale under this arrangement. Under the vendor's marketplace authorisation for its approved listings, Afro Fashion House Inc. acts as the vendor's limited agent to accept orders and collect the garment payment as described in clauses 1.6 and 8.2. This limited authority does not create a general agency or make AFH the garment's reseller. Afro Fashion House Inc. provides the buyer-facing services and holds the Stripe account used for enabled buyer payments; Stripe processes those payments. Provenfield Labs Limited separately administers vendor payouts through its Paystack business account under the Vendor Terms. AFH handles exportation from the designated Nigerian hub through its authorised arrangements, and Afro Fashion House Inc. is the US importer of record. Use of the app does not appoint you as importer. These roles do not remove AFH's own inspection, logistics, payment-administration, support and remedy obligations. This agreement does not promise that purchase money is held in a regulated escrow or trust account.
1.4 Nigerian operations.
Provenfield Labs Limited is a separately incorporated Nigerian company involved in AFH's vendor-side arrangements. Its agreement with vendors does not replace this US buyer agreement or require you to bring an ordinary buyer claim under Nigerian vendor terms. Common ownership does not automatically make either company a guarantor of every obligation of the other. AFH remains your contact for the services and remedies promised here.
1.5 Outsourced services.
AFH may use authorised affiliates and suppliers to provide technology, tailoring coordination, inspections, shipping, payment handling and support. Outsourcing does not excuse a responsibility that law or these Terms place on AFH. References to an administrator mean authorised AFH personnel acting within their assigned role, not an unrestricted right for every staff member to access your information.
1.6 Seller identification and authorised collection.
The order information must identify the legal seller for each piece, alongside any trading name, and AFH as the service provider and authorised payment recipient. Payment successfully received through AFH's authorised checkout satisfies your obligation to pay the recorded amount for that purchase; a later delay or failure in AFH's settlement with a vendor does not require you to pay again. A mere bank authorisation is not necessarily receipt of payment. A reversed or unauthorised payment is addressed through the appropriate payment process, not an informal vendor demand. Any recovery must account for refunds and reversals and preserve your payment-dispute rights. AFH provides any legally required seller disclosures and reporting channels; chat restrictions do not remove those obligations.
2. Acceptance and Contract Documents
2.1 Acceptance.
You agree to the version made available when you affirmatively accept these Terms in the account or purchase process. We may retain the version, date, account and acceptance record and make a copy available. A visit to a public page alone is not consent to optional photo processing, marketing or a new monetary charge. Where a fresh agreement is legally required, we will request it.
2.2 Order documents and priority.
Mandatory law controls. Subject to that law, an expressly agreed written variation and the specific product, price, delivery and remedy promises recorded for your purchase control their subject matter; these Terms supply the general rules. A later help article or vendor message cannot silently withdraw an agreed benefit. If documents conflict, AFH will explain and resolve the conflict fairly, without using a general disclaimer to cancel a specific commitment made before payment.
2.3 Linked policies.
The Privacy Notice explains personal-data handling and privacy rights. The AI notice explains the particular optional feature. A promotion or group offer may have specific conditions disclosed before participation. Only identified policies made accessible before the relevant agreement are incorporated. Agreeing to these Terms is not blanket consent to every future policy or processing purpose.
2.4 Definitions.
A Purchase may contain one or more physical Pieces. An Order is the record used to track a purchase or an independently fulfilled piece. An Order Snapshot records the purchased listing, selected measurements, price and relevant specifications at purchase, together with separately recorded approved amendments. A Group Event coordinates participants buying a shared offer. A calendar day includes weekends; a business day excludes weekends and applicable public holidays at the relevant service location.
2.5 Time and evidence.
Use the date and time zone shown for a deadline. If a material deadline is unclear, ask support; we will not rely on an undisclosed time-zone interpretation to defeat a remedy. Electronic receipts, messages and status records may be evidence, but a system entry is not conclusive where there is credible contrary evidence. Keep your order and piece references when contacting us.
3. Eligibility and Service Availability
3.1 Adult accounts.
You must be at least 18, capable of entering a binding contract and authorised to use the payment method provided. The buyer service is intended for personal purchases by adults. Do not create an account in a child's name or allow a child to operate an adult account. An authorised representative ordering for an organisation must have authority; these Terms do not automatically establish a wholesale or resale programme.
3.2 Supported locations.
AFH serves delivery addresses across all 50 US states, including Alaska and Hawaii. Delivery availability, charges and timing for the particular address are shown at checkout. This statement does not separately promise support for US territories, military addresses or post-office boxes unless the available service expressly supports them; Washington, DC availability must also be identified by the offered service. Marketing to buyers in the diaspora is not an eligibility restriction based on ethnicity or nationality. Do not use false location details to bypass an unavailable destination.
3.3 Orders for another wearer.
You may purchase for another person where the product and service permit, but you must have authority to provide their measurements, delivery details and other necessary information. Use the minimum information needed and tell them how it will be used. You remain the account contact unless an authorised alternative is recorded. Purchasing a garment for a child does not authorise a child account or uploading a child's image to an adult AI feature.
3.4 Legal restrictions.
Participation may be restricted where required by sanctions, fraud-prevention rules, carrier restrictions, product safety requirements or other law. We may reasonably decline an unsupported order or request proportionate verification, but will not use eligibility rules to discriminate unlawfully or retain payment for an order we cannot lawfully fulfil.
4. Accounts, Security and Access
4.1 Accurate details.
Provide accurate account and contact information and keep it current. Complete the verification steps requested by the app. A verified email confirms control of that email; it is not a certification of a person's identity, a vendor's skill or a product's suitability. Do not impersonate another buyer, use stolen credentials or create accounts to evade restrictions or manipulate promotions.
4.2 Protect your account.
Keep passwords and verification codes private, use a secure device and sign out of shared devices. AFH staff will not require you to send a password, complete card details or a one-time code through buyer-vendor chat. Report suspected compromise promptly to support. Your cooperation helps investigation but does not automatically make you liable for every unauthorised action or remove payment-protection rights.
4.3 Recovery and changes.
Password resets, email changes and sensitive requests may require proof that you control the account. We may temporarily limit access during a credible security investigation. Provide only the information requested through the designated secure process. If you cannot sign in, you may contact support for order assistance and the legal/privacy contacts for rights requests; account access is not a prerequisite to every remedy.
4.4 Permitted use.
Use the ordinary app functions and authorised interfaces. Do not scrape personal data, defeat access controls, introduce malicious software, automate abusive traffic, exploit pricing or payment errors, or interfere with another person's account. Good-faith security reporting through a lawful channel is different from exploiting a vulnerability. Reasonable accessibility tools are not prohibited merely because they automate an interface.
5. Listings, Saved Items and Product Information
5.1 Choosing an item.
Review the selected garment, fabric, colour, included pieces, tailoring options, price, measurement requirements and timing before payment. Saved items, searches and the cart help you compare products; they do not reserve stock, a production slot, a price or delivery availability. The final checkout disclosures and accepted order record govern the purchase.
5.2 Handmade variation.
Minor differences in pattern placement, screen colour, texture and hand-finished details may occur if consistent with the description and reasonable expectations for the item. This does not permit a materially different fabric, missing garment, incorrect size, defective construction or an unapproved substitute. A statement that an item is handmade does not excuse a failure to supply what was agreed.
5.3 Photographs and AI-enhanced imagery.
Styling photographs can include accessories or combinations not included in the sale; inclusions must be identified. An AI-enhanced background or model image is not permission to misrepresent the actual garment. If an image conflicts with a material description, ask for clarification before ordering. We will consider the representations you reasonably relied on when assessing a later complaint.
5.4 Availability and errors.
We may correct listing errors and remove unavailable or non-compliant listings. For an already paid order, we will explain a material error and offer a lawful resolution rather than impose a different item or price without agreement. If fulfilment is impossible, the affected payment must be addressed under the cancellation and refund provisions. A seller's removed listing does not erase an existing order.
5.5 Verification and recommendations.
A vendor approval or review indicates completion of the applicable platform checks, not a guarantee of every future act, perfect fit or a particular artistic result. Search rankings, suggestions and reviews are aids to selection. Do not treat them as a substitute for the specific product information or a personal professional fitting.
6. Measurement Profiles and Guidance
6.1 Creating a profile.
A measurement profile requires a name that is unique for your account under the app's validation rules. Individual measurement fields may be left blank, and the app may ask you to review an incomplete profile before saving. Saving an incomplete profile does not establish that it contains every dimension needed for every garment. Blank means not supplied, not zero or permission to invent a value.
6.2 Accuracy and units.
Select the correct wearer and units, follow the measurement definitions, and check values before confirming them for an order. Inches and centimetres are not interchangeable. Use a suitable tape and seek help if uncertain. A measurement labelled for a body circumference is not necessarily the finished garment dimension; design ease and approved tolerances must be considered when assessing fit.
6.3 Guides and videos.
The male and female guides explain the measurement sets offered in the app. They are practical guidance, not a promise that every body shape, garment construction or personal fitting preference can be captured without clarification. You may review a video while completing the form. Selecting a guide describes the measurement workflow; it does not require you to disclose an identity or personal characteristic beyond what the garment needs.
6.4 Checks and missing information.
Validation warnings and AI estimates may help identify inconsistent values but cannot detect every mistake. Do not ignore a warning without reviewing it. Equally, AFH and a vendor must not knowingly rely on an obvious ambiguity or missing essential dimension without reasonable clarification. A buyer's confirmation does not excuse an independent manufacturing error or a misleading instruction supplied by AFH.
6.5 Profiles for others.
Obtain the wearer's permission or other appropriate authority, and avoid unnecessary identifying names in profile labels. Do not upload medical records or intimate photographs to explain an ordinary garment measurement. For a child garment, an adult must manage the order and supply only necessary measurements through an approved non-AI workflow unless AFH expressly offers a compliant alternative.
6.6 Changes and history.
You may edit or delete reusable profiles subject to the app's rules, including versioning where a profile has been used. Some historic profile names may remain unavailable for reuse. These controls help distinguish current information from the values used for past purchases. They do not prevent you from requesting correction of inaccurate personal information through the privacy process.
6.7 Optional reference photo.
You may take or upload one optional full-body front reference photo with a measurement set to help the tailor understand the wearer's shape and posture. Use fitted clothing, keep the face out of frame, and do not include nudity, underwear, children, identifying documents or other people. Only upload your own adult photo or one for which the adult wearer has given informed permission for the use and sharing described here and in the Privacy Policy. The app asks for a separate sharing confirmation before upload. Choosing not to provide a photo does not prevent saving measurements or placing an otherwise eligible order. A photo supplements, but does not replace, accurate numerical measurements, approved instructions or reasonable clarification of discrepancies; it is not a fit guarantee or grounds to deny an otherwise valid remedy.
6.8 Private sharing and removal.
When a measurement set is used for an order, its reference photo can be viewed privately by the relevant tailor in Nigeria and authorised AFH personnel for making, inspecting or supporting that garment. It is not a public listing, group-chat attachment or an AI-try-on submission. AFH does not send this reference photo to Alibaba or another AI service, or use it for advertising, general AI training or biometric identification. The photo remains with the set and related orders until you remove the photo or delete that measurement set; the separate 30-day AI-image rule does not apply to saved reference photos. Removing it revokes further in-app access from linked order records, including historical versions using that photo, while necessary numeric order measurements remain. Set deletion may be restricted while an order or group is active, but you can remove the photo separately. Report misuse or request assistance at privacy@afrofashionhouse.com. See Privacy Policy section 6 for deletion processing and safeguards.
7. Order Snapshots and Approved Changes
7.1 The purchased record.
At purchase, the selected measurements and relevant garment specifications are recorded against the item. Later changes to a saved measurement profile, its label or the vendor's listing do not automatically change that record. Deleting the reusable profile does not erase measurements retained in a lawful order history. Review the correct profile before confirming payment.
7.2 Requesting a correction.
If you discover an error, contact support promptly using the affected piece reference and explain the exact value, unit or instruction to change. Once order chat is available, it may be used to discuss permissible tailoring details, but simply sending a request is not confirmation that it can be fulfilled. Do not assume production stops while a message is unread.
7.3 Recording agreement.
A material amendment must identify what changes, whether it is feasible, any agreed cost and any revised timetable, and be recorded through authorised AFH processes. Support can help where the app has no direct amendment control. The vendor's work order should reflect accepted modifications. AFH will assess an actual recorded agreement and will not reject it solely because its own staff failed to copy an acknowledged change into another field.
7.4 Limits after work starts.
Fabric cutting, embroidery, construction or shipment may make a voluntary change impractical or chargeable. No extra charge may be collected through an informal vendor transfer. You must expressly accept an authorised additional charge before it is taken. If a change cannot be made, the existing specification remains subject to the applicable cancellation and remedy rules; we will explain the position rather than silently substituting an item.
7.5 Later preferences.
A new style preference, a body-size change after accurate measurement or an unapproved request does not automatically make the original item defective. Where responsibility is shared or disputed, we will compare the original snapshot, approved communications, garment evidence and relevant advice before deciding the appropriate response. Schedule A gives practical examples.
8. Checkout, Payment and Order Acceptance
8.1 Before payment.
Check every piece, quantity, measurement profile, delivery address, contact detail, charge and relevant date. You place and pay for your order at AFH checkout, without waiting for a vendor to accept it separately. By submitting payment, you authorise the displayed amount through the enabled payment provider and confirm authority to use the payment method. Successful payment and acceptance are addressed in clause 8.2; a failed or pending payment is addressed in clause 8.5. This is not permission for undisclosed future purchases or off-platform vendor charges.
8.2 Formation of the purchase contract.
Submitting an order is your offer to buy the identified piece on the displayed terms. Acting under the vendor's limited authorisation for its approved listing, Afro Fashion House Inc. accepts that offer for the vendor when payment is successfully confirmed and AFH records the paid order; the garment-sale contract is then between you and that vendor, and AFH undertakes its own services under these Terms. The vendor cannot reject the paid order and must proceed to production, subject to the recorded specifications, necessary clarification and any valid cancellation or approved change. Expressly disclosed group-activation conditions qualify the obligation to release a conditional group purchase for production; they do not permit indefinite retention of payment. A failed payment or an abandoned payment sheet is not a paid order. A missing confirmation email does not undo an already recorded acceptance. If a captured payment cannot be matched to an accepted order, AFH must promptly investigate and confirm the purchase or return the applicable amount, rather than leave it unresolved. Inability to fulfil an accepted order requires the applicable cancellation/refund remedy.
8.3 Vendor confirmation.
The vendor separately acknowledges the received order before certain messaging and dispatch actions become available. This operational confirmation is not a right to accept or reject an already paid order, a new measurement-approval stage or permission to delay production indefinitely. A vendor's late acknowledgement does not restart a production deadline. Acknowledgement alone does not establish that custom production has actually begun or end eligibility for a voluntary cancellation refund; the actual production and onward-shipment rules in clause 16 apply. Contact support if an order remains unattended.
8.4 Payment providers.
Enabled card payments are processed through Stripe using the buyer-payment account held by Afro Fashion House Inc., as presented at checkout. Provider authentication, bank authorisation and fraud checks may apply. AFH does not ask you to disclose full card credentials in chat. Your bank's charges and protections depend on your payment arrangement; a provider's terms do not remove AFH's own duties concerning the purchase. The separate Nigerian vendor-payout arrangement is not the buyer's payment route.
8.5 Pending, failed or duplicate payment.
A temporary authorisation, a captured charge and a settled refund are different events. If payment appears to fail but your bank shows a charge, check your order record and contact support before repeatedly paying. We will investigate duplicate captures and reconcile amounts actually received. A bank authorisation release is not represented as a separate cash refund where no money was captured.
8.6 Receipts and records.
A purchase confirmation may summarise several independently tracked items and their charges. Retain it for reference. A delayed email or push notification does not, by itself, cancel a recorded order or prove payment failed. Tell us about any discrepancy between the receipt, app and bank record so it can be checked.
9. Prices, Delivery Charges and Promotions
9.1 Currency and breakdown.
Buyer checkout is currently denominated in US dollars. Before payment, the checkout should show the garment subtotal, delivery, customs/import amount, applicable tax or other disclosed fee, discounts and total. A bank may apply its own currency-conversion or cross-border charge if your payment account uses a different currency. AFH must not add an undisclosed platform charge after purchase.
9.2 Per-piece charges.
Delivery and the AFH import charge are calculated for each physical piece in the current new-purchase workflow, including multiple pieces of the same listing. The checkout total must reflect the quantity purchased and explain the fixed import-charge basis in clause 14. Paying once or receiving items in a combined parcel does not automatically mean only one charge applies, nor permit charging more than the agreed total. Incorrect or duplicated charges remain reviewable.
9.3 Discounts.
A discount applies only to the eligible items and conditions displayed for that offer. Vendor-specific, first-order or group pricing may not cover the whole cart. Do not assume a code affects delivery, customs or tax unless stated. A partial refund uses the actual allocated amount paid, not a higher undiscounted price, and must not be used to impose an undisclosed penalty on retained items.
9.4 Errors and additional services.
We may correct a price before acceptance. A material error discovered after payment requires notice and a lawful choice or remedy, not unilateral additional collection. Optional alterations, redelivery or upgrades require an agreed quotation when chargeable. We will not require an additional payment to fix an error that the applicable remedy obliges AFH or the vendor to correct without charge.
9.5 No informal settlement.
Make order payments only through AFH's approved process. Do not pay a vendor directly to change an item, reserve stock, release a parcel or resolve a complaint. Report such requests. AFH cannot promise recovery of an unrelated off-platform transfer, but the fact that a scam occurred does not erase any separate legal obligation AFH may have.
10. Independently Tracked Pieces
10.1 References.
A new purchase containing several physical pieces may have a common purchase reference with item references ending in A, B, C and so on. Even three copies of one listing from one vendor can be separate pieces. A single-piece order may use the unsuffixed reference. Older orders may retain the earlier record structure shown in the app.
10.2 Separate progress.
Each independently tracked piece has its own confirmation, production, inspection, shipping and buyer-confirmation progress. Pieces can arrive in different parcels or at different times. Confirm only what you actually received and checked. Receipt or acceptance of one piece is not acceptance of the others.
10.3 Item-level remedies.
A defect, cancellation or refund normally relates to the affected piece and its properly allocated charges. We will also consider whether a problem defeats an expressly agreed matching set or shared purpose; independent tracking is not a reason to ignore that evidence. We will not silently cancel unaffected pieces or retain charges for an item that will not be supplied where a refund is due.
10.4 Shared payment.
One card payment may cover several item records. Refund entries can therefore refer to the same original payment while relating to different pieces. AFH must track amounts already returned to prevent duplicate deductions or over-refunds. Ask support for a reconciliation if several partial entries are unclear.
11. Production and Delivery Timetables
11.1 Distinct stages.
The vendor's displayed days to make, transport to the hub, inspection and correction time, international shipping and final delivery are distinct. The current listing workflow permits one to fourteen days to make; this is not a promise of arrival in the United States within fourteen days. A checkout delivery representation must nevertheless have a reasonable basis and must not be contradicted by an undisclosed general disclaimer.
11.2 Operational clock.
An ordinary paid order's operational production timetable begins when it is released to production. A group batch begins under its activation timetable. An internal release date does not postpone a statutory shipment deadline. Missing essential information must be identified promptly; a silent note in a vendor account is not an agreed extension.
11.3 Delays.
AFH aims to fulfil orders within the timeframe stated for the purchase, but does not control third-party courier operations, customs processing or every transit disruption. Estimated delivery dates are not an unconditional guarantee of an exact arrival date unless a specific guarantee is expressly accepted. This qualification does not withdraw an agreed shipping commitment or a required remedy. If we cannot meet an applicable shipment commitment, we will provide the required notice and delay/cancellation options and issue any required refund. If no shipment time is stated, the applicable federal default applies. We will not treat transfer to our own inspection hub as delivery to you or rely on a supplier's delay to avoid our obligations. A further extension must follow applicable consent requirements.
11.4 Event dates.
Tell us before ordering if a wedding, celebration or other date is essential, and rely only on a specific written delivery commitment that AFH is authorised and able to make. Merely naming an event does not create an express guaranteed-arrival service. If we accepted a material date commitment and cannot honour it, the appropriate legal and contractual remedies remain available.
11.5 Buyer responses.
Answer reasonable clarification requests promptly. A delay caused by missing essential information may affect feasibility, but a revised timeline or cost must be explained. We will consider causation and any agreement rather than automatically assigning all subsequent delay to you. A customer-service process cannot extend a mandatory cancellation or refund deadline.
11.6 Delay notices and choices.
When a shipment commitment cannot be met, AFH will give the required notice identifying the affected pieces, the reason, a reasonably supported revised shipment date or the inability to give one, and the available cancellation/refund choice and response period. AFH will record any required agreement to wait and give further notices where required. An unread notification, a vendor's production status or continued app use is not evidence of express agreement. If a required agreement is not obtained, AFH will cancel and refund the affected unshipped purchase as the applicable rules require, without waiting for a further complaint. This legally required remedy is separate from the voluntary-cancellation restrictions in clause 16; starting custom production or moving an item to the hub does not remove it.
12. Hub Inspection, Quality and Product Safety
12.1 What the hub uses.
AFH's quality-control process uses the order's measurement snapshot, garment specifications, recorded approved modifications and relevant buyer-vendor order communications to assess the item before onward shipment. Authorised staff can review order chat for this purpose and for support, safety and dispute handling. This is not a promise that every message is read by a person immediately; important changes must be acknowledged and recorded as described in clause 7.
12.2 Inspection scope.
Each piece is assessed against its purchase-time specifications and properly agreed changes, including garment-relevant measurements, material, colour, design, workmanship, visible condition, completeness and safety. Inspectors record relevant evidence and seek clarification of essential unresolved instructions before passing an item. Measurement comparisons must distinguish body from finished-garment dimensions and use the applicable approved method, fit and tolerance. Inspection is not a personal fitting, a guarantee of every hidden characteristic or a medical, authenticity or laboratory certification unless specifically offered.
12.3 Failed checks.
An item that fails the required checks may be held for clarification, correction or remake, with updated timing communicated where it affects the buyer. Where an appropriate correction is unavailable, unsuccessful or too late under the applicable obligation, cancellation or refund must be considered. We will not demand that you accept an unapproved substitute to avoid a remedy.
12.4 Pass and vendor payment.
A hub pass permits the next fulfilment and vendor-earnings stages. Vendor earnings for a piece become eligible for payout only after that piece passes hub inspection, subject to the applicable holds, verification and payout schedule. Payout may occur before you receive the parcel; your checkout payment or the vendor's acknowledgement alone does not release vendor earnings. AFH does not promise that all purchase money remains in an escrow account until buyer confirmation. An inspection pass or earlier vendor payout does not eliminate a valid later claim or require you to recover money directly from a tailor.
12.5 Inspection error.
If the item should not have passed because it failed the accepted specification or a relevant quality check, AFH will investigate and coordinate a reasonable amendment, remake or refund as appropriate. You need not establish which staff member made an error to report a genuine defect. A manufacturing error, wrong item or transit loss may justify a remedy even if the precise inspection failure cannot be reconstructed.
12.6 Safety reports and precautions.
Stop using a garment if you reasonably suspect a safety hazard, keep it away from children where relevant, and promptly report the concern through support. Seek appropriate emergency help for an immediate danger rather than waiting for an app reply. AFH may suspend affected sales or dispatch, seek proportionate product evidence and issue safety instructions while investigating. Do not test a suspected hazard yourself. Ordinary hub inspection does not replace applicable product testing, labelling, regulatory reporting or importer duties.
12.7 Safety notices and recalls.
If a safety warning or recall affects an item, AFH will identify the affected product or order as reasonably practicable, communicate the hazard and any stop-use instructions, and explain the applicable return, safe-disposal, repair, replacement or refund process. AFH will use available appropriate contact channels and any required public or regulatory notices. Safety communications are service notices, not optional marketing, and may be necessary after account closure where lawful records permit. Follow the specific recall instructions; do not ship or destroy a potentially unsafe item before receiving safe instructions unless immediate safety requires otherwise.
12.8 Recall remedies and costs.
The applicable recall programme and law determine the remedy. AFH will arrange necessary approved return or disposal steps without charging the buyer for complying with that remedy. A custom-order restriction, previous inspection pass, seven-day confirmation, fourteen-day reporting request, missing packaging or closed account does not by itself exclude a valid recall claim. Use reasonable alternative evidence if an order record is unavailable. This procedure does not require a waiver of personal-injury or other protected claims and does not replace AFH's regulatory obligations.
13. Addresses, Shipping and Delivery Problems
13.1 Delivery details.
Supply a complete, accurate and deliverable address and the recipient details required by checkout. Address suggestions do not guarantee that a carrier can serve the location. If details are wrong, contact support immediately. Editing a saved address is not, by itself, confirmation that an in-progress shipment has been rerouted; obtain written confirmation for the particular order.
13.2 Handover and tracking.
Tracking shows information available from AFH, the hub and carriers and may update with a delay. A vendor-to-hub dispatch is not onward shipment to the buyer. Combined or separate parcels do not change each item's recorded status or your right to question a missing piece. We may request reasonable delivery evidence without treating a carrier scan as unchallengeable proof.
13.3 Transit responsibility and lost or damaged items.
As between AFH and the buyer, AFH takes responsibility for coordinating and providing the applicable remedy for loss or damage before properly completed delivery under clause 13.4, subject to a proven buyer-caused issue and applicable law. The buyer is not required to pursue the tailor, carrier or insurer first. Report loss, damage or wrong-location delivery to AFH so we can review the evidence and arrange the appropriate replacement, refund or other required remedy. We do not guarantee a particular carrier-claim outcome, and AFH's separate recovery from another party must not indefinitely postpone what we owe you. This allocation does not excuse damage caused before delivery merely because it is discovered later.
13.4 Properly completed delivery.
Delivery is completed when the item reaches you or your authorised recipient at the agreed address, or is placed in a specific safe place or collection location in accordance with your actual authorisation and applicable law. A carrier's unilateral safe-place choice is not automatically your authorisation. A scan, photograph or signature is evidence to assess, not conclusive proof against credible contrary evidence. Subsequent theft after properly completed authorised delivery is different from transit loss and is not automatically AFH's responsibility; AFH will still investigate a credible allegation of misdelivery or failure to follow instructions. A missing piece in a delivered parcel has not itself been delivered.
13.5 Missed delivery and wrong information.
Cooperate with reasonable delivery and collection instructions. If a failed delivery is caused solely by an address error or refusal attributable to you, an evidenced, reasonably incurred redelivery or return cost may be quoted, subject to law and prior disclosures. We will not impose a blanket forfeiture of the whole order price or charge you for a failure caused by AFH, the vendor or carrier.
13.6 International logistics.
Customs checks, security screening and route disruptions may affect transit. AFH will communicate material developments and any available choices. An unexpected event does not make a paid order non-refundable indefinitely. If a package is returned, contact support to agree a lawful next step rather than arranging an unapproved shipment to a vendor.
13.7 Ownership of the garment.
Subject to mandatory law and any separately recorded lawful cancellation settlement, ownership of a paid, identified garment passes from its vendor to you on properly completed delivery. This concerns the physical garment, not a transfer of a designer's intellectual-property rights. It does not limit an earlier statutory interest, payment remedy or right in identified goods. An AFH/vendor settlement dispute does not undo a buyer's properly completed purchase. Treatment of an item retained after cancellation must be recorded under clause 16.7; AFH cannot rely on a title provision to justify keeping both the full retained price and resale proceeds without the accounting required by law.
13.8 Investigation and escalation.
AFH will acknowledge a delivery complaint, identify proportionate evidence still needed and provide a dated next update and decision target appropriate to the circumstances. If the target cannot be met, we will explain why and escalate the matter rather than repeatedly leave it pending without a substantive decision. A carrier investigation is evidence gathering, not a suspension of a legal refund deadline. You may request further review through clause 19 without losing a statutory or bank-dispute deadline.
14. Customs, Import Charges and Tax
14.1 Fixed AFH import charge.
AFH sets the import charge displayed before you pay. Although AFH may estimate its underlying import costs when setting that price, the amount accepted at checkout is a fixed charge for that purchase, not a refundable deposit or an estimate reconciled to actual government duties. It may differ from the amount ultimately assessed by a customs authority and must not be represented as an exact government levy. Afro Fashion House Inc. acts as importer of record and coordinates the import arrangements. The fixed-price basis must be clearly disclosed before payment; this clause does not retrospectively replace a different promise made for an earlier purchase.
14.2 No double charging.
If a carrier asks you to pay an import amount already collected by AFH, contact support with the demand and item reference promptly. AFH will check the charge, provide the relevant payment information and resolve an erroneous duplication. You are not required to pay the same charge twice simply because two systems describe it differently.
14.3 Price changes and no routine reconciliation.
AFH may change its import-charge pricing at any time for future purchases; the price you accept is shown before payment and remains fixed for that order. On a completed purchase, no routine refund is made solely because AFH's actual import cost is lower, and AFH does not charge you extra solely because that cost is higher. AFH cannot guarantee a permanent government tariff rate or exemption. A customs reassessment or later price update is not permission to debit your card again, impose an undisclosed surcharge or pass AFH's compliance penalty to you.
14.4 Accurate declarations.
Do not request false descriptions, undervaluation or a false gift declaration. Provide information reasonably and lawfully needed for clearance through the designated secure process, not buyer-vendor chat. We will explain any material clearance requirement affecting the purchase. The responsibility for preparing declarations must follow the disclosed exporter/importer arrangement.
14.5 Cancellation and required refunds are separate.
The no-routine-reconciliation rule is not an absolute no-refund rule. An approved voluntary cancellation after production begins but before onward shipment includes return of that piece's delivery and AFH import charges under clause 16.3. A cancellation before production and any other legally required refund must include the amounts owed under clauses 16-18. Correct duplicate or erroneous collections. Explain product price, delivery, import charge, tax and previous refunds separately; do not retain an amount that law requires to be returned merely by labelling it customs.
14.6 Checkout description and scope.
The fixed charge must be identified as an AFH import charge, with its scope and fixed-price basis available before payment, separately from the garment price, delivery and any applicable sales tax. It is AFH's price for the import costs and clearance services identified for the order, not a certification of the actual government assessment. AFH remains responsible for its importer obligations and ordinary cost differences within the agreed scope. No undisclosed compulsory brokerage or clearance fee may be added later to bypass the fixed price. Any different buyer-requested service must be separately quoted and expressly authorised. A receipt or help-page update cannot retrospectively narrow what the paid charge covered.
15. Delivery Confirmation and Completion
15.1 Check each piece.
When a delivery arrives, check the parcel contents, item reference, visible condition and basic conformity with the order. Confirm only the pieces received. If a parcel is incomplete, explain which pieces are missing; do not confirm an entire purchase simply because one package arrived.
15.2 Automatic status change.
The current workflow may automatically confirm an item seven calendar days after it is marked delivered, unless a qualifying dispute blocks the process. An ordinary support ticket may require escalation before it affects that status. Do not rely solely on an unchanged status as proof that an investigation is open; keep the ticket reference and ask support for confirmation.
15.3 No waiver.
Manual confirmation, automatic confirmation, a settled label or the passage of seven days is an administrative event, not a waiver of mandatory rights, a declaration that every latent defect is absent or an admission that a disputed delivery scan is correct. Report a problem promptly even if the app already says complete.
15.4 Practical reporting period.
Please report visible defects, incorrect items or obvious fit discrepancies as soon as reasonably possible, preferably within fourteen calendar days of actual receipt. Some in-app dispute controls use a fourteen-day window. If a control is unavailable, contact support directly. This requested reporting period is not an absolute contractual time bar for a latent defect, non-delivery, a protected payment claim or another right that law preserves.
16. Cancellation and Custom-Garment Returns
16.1 Made for the order.
Because a garment may be cut or finished to your selected dimensions and design, AFH does not offer an automatic discretionary return or refund merely because you change your mind about a correctly supplied custom item. That limitation must be clearly disclosed before payment. It does not restrict remedies for defects, incorrect supply, non-delivery or any cancellation right required by law.
16.2 Before production and support verification.
Contact support immediately to request cancellation of the affected piece. Support will contact the vendor by telephone to confirm whether the tailor has checked the order measurements and actually commenced custom production, and will record the response, relevant timing and evidence. Before actual production has begun, an approved voluntary cancellation receives the applicable payment back without an undisclosed cancellation fee. A confirmation click, an automatic in-production label or an unsupported claim is not conclusive proof that work began. We will assess timing against the recorded cancellation request and will not allow a delayed support check to create an artificial loss of eligibility. This is not a separate mandatory measurement-confirmation stage in the app.
16.3 Production and shipment cutoffs.
Once the tailor has checked the order measurements and actually begun custom production, AFH's discretionary policy does not offer a refund of the garment price for a voluntary cancellation or change of mind. If that cancellation is approved before onward shipment to you, AFH refunds the affected piece's delivery and import charges. Once the piece has been handed to the courier for onward shipment from the AFH hub to you, no voluntary cancellation refund is offered. Creating a label or sending the garment from the tailor to the hub is not that onward-shipment event. Support must explain the item-level calculation, lawful treatment of any tax and what will happen to the affected garment before recording the cancellation. These restrictions do not authorise an unlawful penalty or double recovery and remain subject to any payment restitution required by law. They do not exclude valid remedies for defective or incorrect goods, non-delivery, a breached shipping obligation or another protected claim, including after shipment.
16.4 Returns after delivery.
Approved returns normally go directly to the Nigerian destination specified by AFH. AFH may instead authorise a US return location for the particular case through its written instructions. Do not use the legal-notice address as a return address or ship to a location found in vendor chat without authorisation. Contact support for the destination, method and any necessary return documentation before dispatch; responsibility for approved transport costs follows clause 17.7. Keep the item reasonably available for assessment and avoid unnecessary wear, washing or alteration while a fault is being investigated. Reasonable inspection and trying on an item do not automatically defeat a remedy. International return instructions must not be used to impose an unreasonable barrier to a legally required remedy.
16.5 Condition and evidence.
Damage caused after receipt through misuse, unsuitable washing or an unauthorised alteration may affect a claim to the extent it caused or worsened the problem. Missing original packaging, a removed tag or lack of an unboxing video is not an automatic reason to reject every otherwise valid claim. We will consider the available evidence and applicable law.
16.6 Timing and proof of production.
AFH will record when a cancellation request was received, the affected piece and the evidence of work already undertaken at that time. The vendor phone check is supported where reasonably needed by dated cutting, embroidery, construction or comparable records, not solely a changed app status. If the vendor cannot be reached, AFH will seek available evidence and escalate the request; lack of a callback does not itself prove production began. AFH must not authorise unnecessary additional work solely to increase the retained amount or treat a delayed review as a later request. The outcome and charge breakdown will be communicated in writing. A request does not itself establish that cancellation has been completed, and mandatory rights remain independent of approval labels.
16.7 Cancelled garments and retained amounts.
An approved voluntary cancellation stops onward dispatch. Before finalising it, AFH will record whether custom work will stop or is already complete, the lawful retained amount, delivery/import refunds and the agreed handling of the garment or materials. If a completed item remains available to you, any later delivery must be separately agreed, including any refunded delivery/import charges to be paid again; no double charge is permitted. The discretionary no-garment-refund policy is not a preset penalty: any legally required restitution, supported loss, saved cost or resale credit must be accounted for. AFH will not resell or dispose of a paid cancelled item without a written settlement or other lawful basis after appropriate notice. No automatic abandonment or undisclosed storage fee arises from cancellation. A lawful refund cannot be delayed solely because AFH has not resolved its internal stock or vendor accounting.
16.8 Authorised return instructions.
For an approved return, AFH will provide a reference, the authorised destination and recipient, suitable packing and tracking instructions, required customs documents, the approved carrier method and the cost allocation before dispatch. For AFH/vendor-fault remedies, AFH will provide a prepaid method or another expressly agreed arrangement that does not impose an unreasonable upfront cost on you. Use accurate return declarations, not a false gift or value declaration. Retain proof of carrier handover. When you follow AFH's approved return method, AFH will manage return-transit loss and the associated claim without making recovery from that carrier a prerequisite to an owed remedy. An alternative route or packing failure is assessed for its actual contribution to loss, not as an automatic rejection of every claim. Recall instructions under clause 12 take priority where safety requires different handling.
17. Fit, Alterations and Quality Remedies
17.1 Buyer-caused errors.
If an item accurately follows adequate accepted measurements and instructions, and the problem is caused solely by your inaccurate information, a later body change, a new preference or an unapproved instruction, AFH does not arrange, perform or pay for an alteration or remake and does not offer a discretionary refund for that problem. Any correction you independently choose to arrange is your responsibility and expense; AFH does not undertake to source or manage it. This exclusion does not shift liability for an unrelated defect, an accepted amendment that was ignored, misleading AFH guidance or another AFH/vendor error to you, and does not override mandatory rights.
17.2 Vendor or AFH fault.
A material departure from the agreed specifications, faulty construction, incorrect item or a relevant inspection error qualifies for investigation and an appropriate remedy. AFH will consider an alteration, remake, replacement or refund, taking account of seriousness, feasibility, timing, previous attempts, your applicable rights and the purpose expressly agreed for the order.
17.3 Mixed or uncertain responsibility.
We will not assume every fit issue is a buyer mistake. Relevant evidence includes the order snapshot and units, approved chat changes, measurement guidance, finished dimensions, workmanship, inspection records and any warning about an obvious inconsistency. Where more than one cause contributes, the response must be proportionate and explained. You may request a further human review if you disagree.
17.4 Reasonable evidence.
AFH may request a description, garment measurements, clear photographs or an inspection. We will offer proportionate alternatives if a request is inaccessible or unnecessary. You are not required to send nude images, intimate body photographs or unrelated identity documents to prove an ordinary garment defect. Private evidence should be submitted through support, not a public review or group conversation.
17.5 Amendment first where appropriate.
AFH may offer a practical amendment or remake when it can properly resolve the problem without unreasonable delay or inconvenience. We will not force repeated failed alterations or deny a refund that law requires. Agree in writing on the work, authorised cost, shipping method and realistic timetable. A paid third-party alteration arranged without approval is not automatically reimbursable, but necessary mitigation and legal rights will be considered.
17.6 Correction deadline.
For an approved vendor correction that requires the item to be returned, the vendor is required to dispatch the corrected item to the designated hub within seven calendar days after receiving the returned item, unless AFH agrees an appropriate written extension. This is a vendor performance deadline, not a buyer complaint deadline and not a promise that the corrected item will reach the US buyer within seven days. AFH must communicate the overall remedy timetable and any material change.
17.7 Who pays.
For a substantiated defect or AFH/vendor error, AFH will arrange the reasonable, necessary approved remedy and associated return/onward transport without imposing those correction costs on you, subject to the remedy required by law. AFH does not handle alterations caused solely by buyer error; independently arranged work and related transport are the buyer's responsibility under clause 17.1. Where responsibility is mixed, explain the evidence and any proposed cost allocation before work is authorised. An unresolved internal recovery from the vendor must not indefinitely delay a remedy AFH owes you.
17.8 Written correction plan and failed remedies.
A correction plan must identify the affected pieces, agreed specification and measurement method, required work, who pays, return arrangements, expected assessment and completion dates and the expected onward timetable. AFH will acknowledge receipt, communicate the assessment and update a material delay. Approved necessary return, re-import and replacement-shipping costs for an AFH/vendor-fault remedy must not reappear as unexplained buyer charges. If a correction fails, is no longer feasible or cannot be provided within a reasonable or legally required period, AFH will escalate to an appropriate replacement, refund or other required remedy rather than repeatedly restarting the repair period. A previously accepted event-date commitment and mandatory rights remain relevant. No plan may retroactively invent a measurement tolerance or require the buyer to accept an inadequate result.
18. Refunds and Payment Disputes
18.1 Refund grounds.
A refund may be appropriate for an inspection error that cannot reasonably be remedied, a defective or materially incorrect item, non-delivery, an inability to fulfil, a required delay cancellation, a failed group-activation condition, an approved cancellation, a duplicate capture or another legal entitlement. The fact that the hub passed the item is not the sole test. A correct custom item affected only by the buyer's mistake is addressed by clause 17.1.
18.2 Calculation.
AFH will explain the affected pieces, actual amounts paid, allocated discounts, delivery/customs/tax treatment and previous refunds or reimbursements. A full refund required for an entirely unfulfilled purchase includes the charges that the applicable law requires to be returned. Partial remedies must fairly address the affected item and associated charges, not automatically retain every non-garment line.
18.3 Method and timing.
Refunds are normally sent to the original payment method through the original provider. We will initiate an approved refund promptly and within any applicable legal deadline, tell you its amount and status, and investigate a failure. We will not substitute store credit for a monetary refund that law requires unless a legally valid voluntary choice permits it. Contact support if the original card or account has closed; do not send new banking credentials in order chat.
18.4 Initiated is not completed.
An approved or processing refund has not necessarily reached your bank. Provider processing and your bank's posting time are distinct from AFH's duty to act on time. AFH will supply the available reference and follow up on a failed or stalled refund. A refund must not be described as successfully paid solely because an administrator clicked a button.
18.5 Vendor recovery is separate.
AFH may separately seek reimbursement from a responsible vendor under its vendor arrangements, including after vendor payout. You are not required to collect that debt personally or wait indefinitely for its recovery where AFH owes you a refund.
18.6 Card and statutory rights.
Contacting AFH can help resolve an error, but does not waive or extend your bank's dispute deadlines. You may exercise lawful chargeback, billing-error and consumer-protection rights. We may provide truthful transaction evidence to the provider and reconcile any overlapping recovery; we will not require a positive review, deletion of criticism or surrender of statutory rights as a condition of an otherwise owed refund.
18.7 No double recovery.
You must not knowingly obtain two reimbursements for the same loss through conflicting claims. Tell us if a bank or other party has already repaid the same amount so we can reconcile it fairly. A good-faith disputed charge or unsuccessful complaint is not, by itself, fraud or grounds to confiscate unrelated payments.
19. Support, Tickets and Review
19.1 Opening a ticket.
Use the order support option or contact support@afrofashionhouse.com. Give the purchase and piece reference, a clear description and any proportionate evidence. Categories help route issues, including delivery, measurements, refunds, incorrect items and group events. Selecting the wrong category does not change the substance of a valid complaint.
19.2 Ticket and dispute records.
A support ticket records the conversation. An authorised administrator may open or associate a formal dispute for a buyer order when escalation is needed. You need not know the administrator's role name or internal refund screen to seek assistance. An existing ticket may be reused to avoid duplication, but AFH should not lose new evidence or treat a vendor's separate concern as a substitute for your complaint.
19.3 Assessment and explanation.
We will review relevant order, payment, communication, delivery and inspection evidence, seek clarification where needed and explain the proposed outcome and any next steps. We may restrict unnecessary third-party personal information while providing enough detail for a meaningful response. An automated flag or a single disputed status is not necessarily the complete decision.
19.4 Escalation.
If the explanation appears incorrect, ask support for a further human review and identify the disputed facts or missing evidence. Legal notices can be sent to legal@afrofashionhouse.com. This internal route is not a compulsory waiting period before an urgent court application, a regulator complaint or a time-sensitive payment dispute.
19.5 Closure and access.
A ticket may close when the matter is resolved or after reasonable attempts to obtain necessary information, with an appropriate explanation. It must be possible to raise material new evidence or contact support after account closure. Closing a ticket is not proof that an initiated refund succeeded, nor a waiver of a remedy preserved by law.
19.6 Case milestones.
AFH will identify the next action, information needed, responsible support contact or team and a dated update or decision target for an escalated order, return or delivery complaint. A missed target requires an explanation and further review, not automatic closure or an indefinite extension. The final outcome should state the material reasons, affected charges, remedy and review route. Any statutory refund deadline takes priority over an internal target. These case-specific milestones are not a promise that every investigation has the same duration.
20. Group Events and Aso-Ebi Purchases
20.1 Shared offer, individual buyers.
A group event coordinates purchases of a selected offer for a shared occasion. The creator can manage permitted event details and invitations, but is not automatically AFH's agent or the purchaser for every member. Each participant is responsible for their own authorised payment, selected measurements and delivery information unless another arrangement is expressly accepted.
20.2 Joining is not paying.
Joining an event or participating in chat does not by itself place a paid order or activate production. The event displays its participation conditions, relevant deadlines and paid-participant threshold. Group chat can become available once the creator and another participant have joined; that is separate from reaching the paid threshold for production.
20.3 Conditional activation.
A group order may depend on reaching the required number of paid participants under the conditions disclosed for that event. The activation period is the one disclosed for the event. AFH must not keep a conditional payment unresolved indefinitely or override an existing event commitment, applicable shipment rule or refund right. If the offer cannot proceed and is cancelled, affected paid participants receive the appropriate refund. Any extension or alternative must follow the applicable notice and agreement requirements.
20.4 Frozen offer.
The event's recorded price, garment and production assumptions apply to its accepted participants. A later edit to the public listing does not silently change their offer. Material changes to the event, garment, charges or timing after payment require the affected buyer's agreement or an appropriate cancellation/refund option. A creator's preference alone does not amend another person's purchase.
20.5 Activated batches and late entrants.
Once activated, orders are released under the recorded batch timetable. A later participant may join only where the offer permits and a realistic timetable is available. Joining late is not a guarantee of the same event-date delivery if that is no longer feasible. Separate pieces retain their own inspection, dispatch and receipt records.
20.6 Leaving, removal and cancellation.
Removing an unpaid participant or leaving a conversation is not the same as cancelling a paid order. Once a payment or production commitment exists, use support to assess the applicable cancellation and remedy rules. A creator cannot delete the event to erase other members' paid orders, collect their refunds or accept defective goods on their behalf without proper authority.
20.7 Visibility and permissions.
Other members can see what you post to group chat. The creator may see roster and progress information such as participant name, participation/payment stage, whether measurements were submitted and order progress. This does not entitle the creator to another member's full measurements, payment credentials, private address or support evidence. Do not share invitations publicly if they are intended for a limited group.
20.8 Event disruption.
Cancellation of a wedding or personal occasion does not automatically cancel correctly accepted custom orders. AFH will consider actual production stage, the accepted offer and legal rights. If AFH fails a material event-date commitment, that is assessed under the ordinary delay and remedy provisions rather than blamed on the organiser or other members.
21. Messages, Personal Information and Conduct
21.1 Order conversation.
Buyer-vendor chat is for the relevant garment, permissible measurement clarification, approved amendments and fulfilment questions. In the current flow it becomes available after vendor confirmation and may close to new messages after delivery or a terminal state. Use support for later problems. A chat availability limit does not end your right to report an issue.
21.2 No private contact exchange.
Do not send, solicit or repeat private phone numbers, email addresses, residential or delivery addresses, identity documents or numbers, bank/card information, passwords, one-time codes, social handles or external contact invitations in buyer-vendor chat. Do not use screenshots, spaced characters, QR codes or other formats to evade this rule. Use the order reference and platform display identity where needed, not unnecessary legal names.
21.3 Necessary tailoring information.
Relevant numeric dimensions and non-identifying garment instructions may be discussed through the approved order workflow. The rule against contact and identity exchange is not a prohibition on every measurement needed to make a garment. Address changes, verification evidence and payment issues belong in the designated secure forms or support channel, not vendor chat.
21.4 Moderation and staff access.
AFH may use automated checks and authorised human review to detect prohibited content, resolve order questions, assess quality issues and enforce safety rules. A flagged message may be blocked from delivery and retained with restricted access for review. Repeated or serious violations can lead to account restrictions. Detection is not infallible, and these conversations are not represented as inaccessible to AFH staff.
21.5 Group and support conversations.
Group chat has a broader participant audience and does not necessarily apply the same automatic contact filters as buyer-vendor chat. Share only information suitable for that audience and do not disclose another person's private data without authority. Support may request necessary evidence securely, but neither group chat nor ordinary support text is an appropriate place for passwords or complete payment credentials.
21.6 Prohibited conduct.
Do not harass, threaten, discriminate unlawfully, post unlawful sexual content, impersonate others, spam, extort a vendor, fabricate evidence, send malware or organise an off-platform payment to evade AFH's controls. Honest criticism, a legitimate refund request and a good-faith legal complaint are not misconduct merely because they are inconvenient or unfavourable to AFH.
22. AI Tools, Try-On and Estimated Measurements
22.1 Optional assistance.
Where enabled, AFH may offer virtual try-on, suggested measurements, recommendations, generated text or other AI-assisted features. Only features actually made available are included; vendor-only logo or listing tools do not become buyer entitlements. Manual browsing, measurement entry and ordinary ordering remain available without agreeing to an optional personal-photo feature.
22.2 Try-on limits.
Virtual try-on creates a simulated image using the selected garment imagery and your permitted photo. It can change appearance, pose, body proportions, fabric behaviour, colour, detail or background inaccurately. It is not the real garment, a reliable fit test, a tailoring measurement or a promise that the finished item will look exactly like the output. A displayed AI preview must not override the agreed product description.
22.3 Measurement estimates.
Photo-based measurement suggestions rely on supplied information such as height and image framing, and may omit uncertain values. Verify every proposed dimension using the measurement guide or appropriate assistance before confirming it for an order. Low-confidence omissions are not zeros. Do not use an estimate as medical advice or as evidence of a person's health or identity. AFH must still investigate a misleading tool statement or its own error rather than automatically blaming all output problems on the buyer.
22.4 Input rights and safety.
Use your own permitted adult photo or another adult's image only where the feature expressly permits it and you have the necessary informed permission and rights. Do not upload a child's image unless a specific compliant feature authorises it. Do not submit nudity, intimate images, unlawful material or another person's image for deceptive impersonation. A permission to buy clothing for someone does not automatically authorise AI processing of their likeness.
22.5 Specific notice and consent.
Read and accept the feature-specific photo notice where required before processing. It must explain the relevant use, providers, retention and choices. Accepting these general Terms is not a substitute for a legally required biometric or sensitive-data consent. Ordinary photographs are not automatically treated as biometric identifiers for every law; AFH must assess the actual processing and obtain the appropriate permissions.
22.6 Processing and retention.
Personal-photo features may send the necessary image or a time-limited access link to a specialist AI provider. Such access must be limited to the disclosed purpose and covered by the applicable privacy arrangements. AFH deletes personal AI try-on and photo-estimation images, generated image results and associated derived copies from its own storage and database image records after 30 days, including AFH-controlled temporary and recovery copies. This does not apply to optional non-AI reference photos saved with measurement sets, which are retained and removed as described in clauses 6.7 and 6.8. For try-on, the period runs from request creation. AFH does not retain facial geometry, embeddings or reusable biometric identifiers derived from personal photos. Alibaba-held copies have separate retention under its Model Studio Data Retention Policy. Saved numerical measurements, order snapshots and limited consent records are separate from the images. The Privacy Policy explains these distinctions and earlier deletion requests.
22.7 Feedback.
You may rate an AI result or provide feedback. The administrative feedback view presents ratings and feedback, not your source or generated try-on images. Feedback and necessary consent/audit records may have a different retention period from the images. Avoid inserting identifying information into free-text feedback. This limited feedback view does not prevent necessary image processing by an authorised technical provider.
22.8 Output use and ownership.
Do not represent a generated preview as an authentic photograph of a delivered item or remove a label in a way that misleads others. AI output may resemble other output and may not qualify for exclusive intellectual-property protection. AFH does not guarantee originality or non-infringement of every output. Rights in your original photograph remain yours or the relevant rights holder's; clause 23 limits the permission given to AFH.
22.9 Availability and changes.
Features may be in testing, have usage limits, fail or be temporarily unavailable. An unsuccessful generation does not mean a clothing order was placed or changed. We may adjust models or limits for safety and service operation, subject to applicable consent and purchased entitlements. We will not use an unavailable optional AI tool as a reason to withhold an otherwise owed garment remedy.
22.10 Photo choices and failed processing.
A failed generation, retry or provider change does not by itself authorise a new use of your photo or erase an existing retention commitment. Feature and privacy notices must distinguish source images, generated results, temporary copies and any justified retained records, and explain applicable provider processing and deletion limitations accurately. AFH must address a failed deletion rather than report it as completed. You may contact privacy@afrofashionhouse.com about withdrawal or deletion without deleting your shopping account. Requests and any lawful exceptions must be assessed under the applicable notice and law; no general AI disclaimer authorises undisclosed model training or advertising with a private photo.
23. Reviews, Content and Intellectual Property
23.1 Your content.
You retain the rights you hold in your photographs, reviews, messages and other submissions. Provide only material you are entitled to use and necessary for the relevant function. Do not upload another designer's protected work for unauthorised copying, misrepresent a brand or use another person's likeness without permission.
23.2 Limited operating permission.
You grant AFH a non-exclusive, royalty-free permission to host, reproduce, transmit and technically adapt submitted content only as reasonably needed to provide the requested service, display content you choose to publish, moderate misuse, resolve claims and meet legal obligations. Necessary suppliers may act within that purpose. This is not a transfer of your copyright, a general sale of your likeness or an unlimited licence to advertise with your private fitting images.
23.3 Public versus private.
A public review and an order-support photo have different audiences. AFH must not treat a private measurement or try-on upload as permission to publish a testimonial, run an advertising campaign or train a model for an undisclosed independent purpose. Additional uses require the appropriate separate disclosure, permission or other lawful basis. Necessary retained transaction evidence remains governed by privacy and retention requirements.
23.4 Honest reviews.
Give an honest account of your experience and identify any relevant incentive. AFH may remove unlawful, abusive, private, irrelevant or demonstrably misleading material under a fair moderation process, but not merely because the review is negative. Refunds and complaint outcomes must not be conditioned on praise, silence or removal of an honest review.
23.5 Platform materials and reports.
AFH and its licensors retain their rights in the app, branding, guides and other platform materials. You receive a limited personal licence to use the app lawfully on compatible devices; no licence is granted to misuse AFH's marks or bypass technical protections. Send an intellectual-property report to legal@afrofashionhouse.com with the work, affected content and basis of your rights. AFH may seek a response, restrict disputed material and follow any applicable legal notice/counter-notice process.
24. Promotions and Future Campaigns
24.1 Enabled offers only.
Promotions are available only when announced and subject to the conditions shown before redemption, including eligible items, participants, dates and exclusions. A historical test feature or an example in a help article is not a current offer. These Terms do not create a buyer referral reward or promise an ongoing discount.
24.2 Fair use.
Do not create false accounts, fabricate group participants, use stolen codes or manipulate a promotion. AFH may investigate and correct an improperly applied benefit, but must explain a material adjustment and avoid an undisclosed automatic debit or arbitrary confiscation of unrelated funds. A genuine technical error is not automatically deliberate fraud.
24.3 Thank-you cards and games.
A card containing a code or phrase is not, by itself, a promise of cash, a prize, admission to a promotion or a guaranteed chance of winning. Any future contest or sweepstakes requires separate approved official rules stating eligibility, geography, entry methods, dates, selection, prizes, taxes and privacy. No purchase-based game is launched merely by including this clause; legally required free-entry alternatives and other safeguards must be provided before a chance-based campaign begins.
24.4 No retrospective changes.
AFH may change or stop future offers, but will not use that right to remove a benefit already validly earned under accepted rules or to alter the paid price of an existing order without a lawful basis.
25. Privacy and Information Handling
25.1 Separate notice.
The Privacy Notice explains the information collected, purposes, recipients, retention, international processing and rights relevant to the service. These Terms establish service rules, not permission to process personal information without limit. Privacy requests may be sent to privacy@afrofashionhouse.com. Applicable rights depend on the law and facts; choosing Colorado contract law does not erase another state's mandatory privacy protections.
25.2 Operational sharing.
Information needed to make, inspect, deliver or support the order may be shared with authorised vendors, hub personnel, logistics and payment providers and relevant technical suppliers, including processing in Nigeria or another disclosed location. Access should be limited to the role and purpose. An organiser or vendor is not automatically entitled to every item of account data because they participate in an order.
25.3 Safety and incidents.
AFH uses reasonable safeguards appropriate to the information and its obligations, but does not promise that any internet service is immune to unauthorised access. Report a suspected privacy or security issue promptly. AFH will investigate and make any notifications required by law; a general security disclaimer does not waive duties to protect data.
25.4 Requests and retention.
We may reasonably verify a rights request without demanding excessive information. Lawful order, payment, fraud-prevention and dispute records may need to remain after a profile or account is removed. We must restrict retained information to an appropriate purpose and period and explain applicable exceptions. Account closure is not the only route to exercise a privacy right.
26. Notifications and Electronic Communications
26.1 Service messages.
AFH may send messages needed for account verification, security, payment, order progress, requests for information, group activity, support, refunds and material changes through the app and the verified email or other enabled service channel. Your device and provider can affect delivery. Keep contact details current and check the order record when a message appears delayed.
26.2 Marketing is separate.
Optional marketing must follow the consent, preference and unsubscribe requirements that apply. Agreeing to order updates is not blanket agreement to promotional emails, marketing texts or automated calls. Declining an optional marketing channel does not cancel a paid order or remove a right to support.
26.3 Preferences and essential notices.
App settings may control eligible notification categories. Some legally or operationally necessary notices may still be sent through an appropriate channel. We will not treat a failed push alert as proof that you knowingly accepted a material delay, new charge or adverse change requiring affirmative agreement.
26.4 Electronic copies.
Keep a copy of these Terms and your receipts. Contact support if an accessible or alternative copy is needed. AFH will obtain any separate electronic-record consent required for a particular regulated process rather than treating this clause as a universal waiver of notice formalities.
27. Suspension, Misconduct and Account Removal
27.1 Grounds.
An authorised administrator may limit features, suspend access or disable a buyer account for fraud, false evidence, unauthorised payments, abusive conduct, prohibited contact exchange, repeated evasion of controls, unlawful content, material breach, credible security risk or a legal requirement. Restrictions should be proportionate to the evidence and risk. An administrator's ability to act is not permission to penalise a lawful complaint.
27.2 Urgent action and notice.
Immediate action may be necessary to protect people, data or funds. Where lawful and reasonably possible, AFH will explain the material reason, effects and review route. We may withhold details that would expose another person's private information, defeat security controls or breach a legal restriction. A technical error alone is not proof of deliberate misconduct.
27.3 Existing orders and funds.
A restriction may stop new orders while AFH determines how to complete, cancel or refund existing ones. Funds may be subject to a lawful fraud or payment investigation, but a suspension is not an automatic forfeiture of a valid refund or all money paid. We will account for affected transactions and maintain a reasonable alternative support route.
27.4 Review and reinstatement.
Contact support with relevant evidence to request review. Reinstatement may require correction of inaccurate information or resolution of a genuine risk. Do not create another account to bypass a restriction. Good-faith review, regulatory or payment-provider rights remain available even if the account is not reinstated.
28. Account Deletion and Continuing Rights
28.1 Requesting closure.
Use the account-closure function where available or contact support if you cannot access it. We may verify the request. The app may allow cancellation of a pending closure; completed closure is not ordinarily reversible, and a later signup does not restore all former records. Export or retain information you reasonably need before completion.
28.2 Unfinished business.
Open orders, unresolved tickets or disputes and unsettled payments may delay the ordinary closure workflow while necessary obligations are reconciled. Requesting deletion does not automatically cancel a custom order, resolve a complaint or authorise destruction of transaction evidence. AFH must not use an unrelated open issue to postpone every privacy right indefinitely, and must assess lawful deletion requests separately where required.
28.3 What changes.
On completed closure, sign-in access is disabled and reusable account details such as saved addresses and measurement profiles are removed or de-identified as appropriate to the implemented process and law. Necessary order snapshots, payments, complaint evidence and audit records may remain for lawful purposes. Messages already shared with others and references in their records may not disappear; AFH must assess retained identifiers rather than promise that all history is automatically anonymous.
28.4 Refunds and access after closure.
Any valid outstanding refund must still be reconciled and paid through an appropriate verified method. Keep the order reference and contact support if the account is closed or restricted. Closure does not discharge AFH's accrued obligations or make a preserved buyer claim invalid, and AFH must not require a new purchase to obtain assistance.
28.5 Photo and privacy requests.
Deleting an account, deleting a saved profile and withdrawing optional AI consent are related but distinct actions. Ask privacy support about a particular photo or processing activity. Withdrawal affects future consent-based processing and the applicable deletion obligations; it does not necessarily require destruction of a narrowly justified legal record. Existing image-retention promises must still be honoured.
29. Service Standards and Liability
29.1 Preserved obligations.
Nothing in these Terms excludes mandatory consumer warranties, legally required remedies or AFH's responsibility for its own enforceable promises. In particular, describing a product as custom, a feature as beta or a vendor as independent does not excuse a legally actionable defect, misdescription or failure to perform an obligation AFH undertook.
29.2 Reasonable limitations.
AFH does not promise uninterrupted app access, error-free third-party systems, exact screen-to-fabric colour matching or a perfect physical result from an AI preview. To the extent permitted by law and except for a specific accepted promise, AFH is not responsible for speculative losses, business profits or consequential losses that were not reasonably foreseeable. No exclusion applies where it would deprive you of a non-excludable remedy.
29.3 Important exceptions.
These limitations do not exclude liability that law forbids limiting, including applicable liability for fraud, wilful misconduct, gross negligence, personal injury or death, or protected privacy/security obligations. They do not cap or erase a required repayment of amounts paid, an owed correction remedy, or direct loss for which the applicable law requires compensation. These Terms do not impose a blanket dollar cap on consumer claims.
29.4 Responsibility for misuse.
You remain responsible for loss you lawfully cause through your own fraudulent or unlawful conduct. AFH must establish a legal basis and reasonable amount rather than automatically charge your card for every allegation or require you to indemnify AFH for its own negligence. There is no unlimited consumer indemnity hidden in the content-upload permission.
29.5 Reasonable mitigation.
Each party should take reasonable steps to avoid unnecessary loss. Report a known problem, preserve useful evidence and avoid making a damaged item worse where practicable. Mitigation does not require accepting an inadequate remedy, disclosing unnecessary intimate information or giving up protected rights.
30. Outages, External Events and App Platforms
30.1 Service changes.
We may maintain, update or replace technical features and temporarily limit availability for security or operational reasons. We will reasonably consider active purchases and access to support. Removing a feature does not cancel an accrued refund, a paid entitlement or the records needed to resolve an existing order.
30.2 Events outside control.
Serious natural events, legal restrictions, infrastructure failures or comparable events outside reasonable control may affect performance. AFH must take reasonable mitigation steps, communicate material effects and honour applicable cancellation/refund rights. Ordinary foreseeable capacity problems or a supplier's failure are not an automatic excuse for unlimited delay or permanent retention of payment.
30.3 Devices and connectivity.
You are responsible for a compatible device and your ordinary internet/data costs. Video guides and generated images may use mobile data. Updates may be needed for security and compatibility. A device or network problem should be investigated without assuming that it cancelled an order or proves user misconduct.
30.4 App stores.
Downloading the app may also be subject to the relevant Apple or Google store terms. Those platforms are not automatically the seller of AFH garments or responsible for AFH's order support. Any applicable app-store licence conditions operate only within their proper scope and do not displace AFH's buyer obligations. A later paid digital feature would need its own correctly disclosed payment terms.
31. Governing Law and Resolving Legal Disputes
31.1 Law.
These Terms are governed by the laws of the State of Colorado and applicable United States federal law, without using conflict-of-law rules to remove a mandatory protection that applies to you. If your residence or the transaction gives you a non-waivable consumer right under another applicable law, that right remains available.
31.2 Informal resolution.
Please contact support first where practical, or send a legal notice to legal@afrofashionhouse.com with the relevant reference and requested resolution. We will seek a reasonable resolution, but an internal review is not a condition that prevents urgent relief, a regulator complaint or compliance with a statutory filing or payment-dispute deadline.
31.3 Courts.
Where lawful, a claim may be brought in a competent state court in Denver, Colorado, or a competent federal court whose district includes Denver. This is not an exclusive venue restriction where applicable consumer law entitles you to bring proceedings elsewhere. Small-claims rights and any required local venue protections remain intact.
31.4 No forced arbitration.
This version does not require binding arbitration, waive a jury right or prohibit participation in a lawful class or representative proceeding. A future proposal to change dispute resolution would require separate legal review, clear notice and any legally required agreement; it would not silently rewrite an already accrued claim.
32. Changes, Unforeseen Situations and Contacts
32.1 Updating the Terms.
We may update these Terms for future use and transactions. Material changes will be made reasonably prominent in advance where practicable and as law requires, with fresh acceptance where required. We will identify the version and effective date. A change does not retrospectively remove an accrued right or rewrite a paid order's specifications, charges or remedies without a lawful and valid agreement.
32.2 Situations not expressly covered.
If a situation is not addressed, applicable law, the accepted order's express promises and the most closely related provisions apply, interpreted reasonably and in good faith. AFH may propose a proportionate solution after considering the evidence and affected rights. This clause does not grant unlimited discretion, create an undisclosed fee, make AFH the final judge of its own liability or waive a mandatory remedy.
32.3 Severability and waiver.
If a provision is unenforceable, it is limited or separated only to the extent legally permitted; the remaining provisions continue if they can operate fairly. Failure to enforce a provision on one occasion is not a permanent waiver. An individual goodwill payment is not an admission of fault or a promise of the same discretionary payment in every future case.
32.4 Transfer and entire agreement.
AFH may transfer the contract as part of a lawful reorganisation or business transfer only without improperly reducing your existing protections, and will give notice where required. You may not transfer an account to evade verification or restrictions. These Terms and properly incorporated transaction documents state the agreement on their subject, but do not exclude liability for a legally actionable pre-contract statement or override a specific accepted promise.
32.5 Continuing provisions.
Necessary payment reconciliation, accrued remedies, lawful retention, content permissions limited to their continuing purpose, liability and dispute provisions survive closure to the extent needed and permitted. Survival is not permission to retain every personal record forever or keep using a deleted private image for new purposes.
32.6 Contact details.
Order questions and complaints: support@afrofashionhouse.com. Legal notices and intellectual-property reports: legal@afrofashionhouse.com. Privacy requests: privacy@afrofashionhouse.com. Postal notices: Afro Fashion House Inc., 870 South Colorado Blvd. #1041, Denver, CO 80246, United States. This is not a return address unless separately authorised under clause 16.4. An email address does not replace a legally required method of service of court proceedings.
Schedule A. Measurement and Quality Examples
These examples explain the decision approach in clauses 7, 12 and 17. They are not an exhaustive list or a substitute for evidence, an accepted promise or mandatory law. A decision should identify the actual cause and the proportionate remedy.
| Situation | How AFH should assess it |
|---|---|
| Wrong value or unit supplied | If an adequate, unambiguous order is correctly made and the sole problem is a buyer-entered measurement error, AFH does not arrange or fund alterations and offers no discretionary refund for that issue. The buyer is responsible for independently arranged correction. An obvious error ignored by the vendor or AFH requires a wider assessment. |
| Profile changed after purchase | The original snapshot remains the order specification unless an amendment was accepted. A new saved profile does not silently change the garment. A support acknowledgement of a correction must nevertheless be considered. |
| Missing essential dimension | A blank field is not zero or permission to guess. Seek clarification before affected work. Consider whether the buyer failed to respond, whether adequate guidance was given and whether an avoidable assumption caused the defect. |
| Approved chat amendment ignored | Review the actual acceptance and work-order record. If the change was agreed but not implemented, an internal copying failure is not a reason to deny the buyer's claim. |
| Garment differs from accepted measurements | Account for design ease and the applicable disclosed tolerance, then investigate vendor/inspection error. Arrange an appropriate correction, remake or refund when warranted. |
| Hub passed a defective item | A pass is evidence, not a waiver. AFH coordinates investigation and remedy. The buyer need not identify the individual inspector or recover funds from the tailor. |
| Correct item, later preference or body change | No AFH-managed or AFH-funded alteration/remake and no discretionary refund for that issue. Independent correction is the buyer's responsibility, without removing any separate applicable promise or mandatory right. |
| AI preview looks different | A generated illustration is not a fit guarantee. Separately assess whether the real item matches its actual description and agreed specifications; misleading product claims remain relevant. |
| Loss, wrong item or transit damage | Investigate the delivery and product evidence and provide the applicable replacement/refund remedy. These claims are not excluded merely because hub QC previously passed. |
| Latent defect after automatic confirmation | Review the defect and applicable rights. A seven-day status change or expired in-app button does not by itself extinguish a protected claim. |
| Safety concern or recall after ordinary reporting periods | Use the safety process and specific recall instructions, not voluntary-cancellation rules. Stop use where advised and arrange the applicable safe remedy. Account closure or an earlier inspection pass does not by itself remove recall rights. |
| Approved return lost in transit | Where the buyer followed AFH's return instructions and has reasonable handover evidence, AFH manages the claim and the owed remedy. Do not indefinitely postpone a buyer refund while waiting for the return carrier to reimburse AFH. |
Schedule B. Charges and Refund Illustrations
The following figures are illustrative only, not AFH's current prices, customs rates or a quotation. Actual checkout disclosures, recorded payments and applicable law control. Currency is USD.
| Example | Illustration |
|---|---|
| Two independently tracked pieces | Each piece costs $100 for the garment, $12 delivery and an $8 fixed AFH import charge. With no other tax or discount, each totals $120 and the purchase totals $240. One checkout does not reduce the two per-piece charge sets to one. |
| One piece cannot be supplied | If piece B is cancelled before fulfilment and all its charges are refundable, $120 is returned for B. Piece A continues at its recorded $120. The exact refund must account for applicable law and any genuine allocation shown on the purchase. |
| Voluntary cancellation after production, before onward shipment | On an approved cancellation in this example, $12 delivery plus the $8 AFH import charge is returned for the affected piece. The $100 garment price is not refunded under the discretionary policy, subject to any greater payment restitution required by law. Record what happens to the garment and any required saved-cost/resale accounting under clause 16.7. A defect, non-delivery or other protected claim is assessed separately; this is not a blanket $100 penalty. |
| Voluntary cancellation after onward shipment | No change-of-mind cancellation refund is offered once the affected piece is handed over for shipment from the hub to the buyer. Valid defect, incorrect-item, non-delivery and other legally protected remedies remain available. |
| Discounted garment | If an eligible $10 discount reduced one garment line from $100 to $90, that piece's recorded total is $110 in this example. A refund starts from what was actually paid, not an imaginary $120 payment. |
| Failed conditional group | If the paid offer is cancelled because its activation condition was not met, reconcile each participant's actual payment and refund the applicable amount. An organiser cannot redirect other members' refunds to themselves. |
| Partial alteration settlement for a qualifying fault | If a buyer freely accepts an appropriate $15 alteration contribution for an established AFH/vendor-fault issue, record the agreed work, payment and remaining rights. This is not an offer to handle buyer-error alterations. Do not call $15 a full reimbursement or silently release unrelated protected claims. |
| Actual import cost differs | The agreed $8 import charge remains $8 for the completed purchase even if AFH's actual import cost differs. No routine surplus refund or shortfall surcharge is made. This does not remove cancellation refunds or amounts otherwise required by law. |
| Import charge already collected | If a carrier demands a payment for import costs covered by the fixed charge, contact AFH to investigate and resolve the demand. AFH must not collect the same covered charge twice or charge an unexplained increase. |
| Previous refund or bank reversal | Show the original amount, earlier credited amount and remaining amount due. Avoid double reimbursement without withholding an unrelated valid refund. |
| Required cancellation for missed shipment | If applicable shipment rules require cancellation and repayment of the unshipped purchase, return the required amount even if tailoring began. The voluntary-cancellation illustration above does not override this remedy. Notify the buyer and record the payment status. |
A lawful refund is not conditional on a vendor first repaying AFH. An eligible amendment must state who pays for the work and shipping. A support settlement should be written in plain language and must not contain an undisclosed waiver of rights.
Schedule C. Statuses and Different Time Periods
Operational labels help track progress but do not independently determine every legal right. The app's wording may vary by version or legacy order structure; ask support if a record is unclear.
| Label or period | Meaning and limit |
|---|---|
| Paid / released to production | Payment has been confirmed and the order or group batch is released for fulfilment. A later vendor acknowledgement does not automatically restart the production timetable. |
| Vendor confirmed | The vendor acknowledged an already paid order; this is not an acceptance veto, a separate buyer measurement approval or proof that all chat amendments have been accepted. It does not by itself establish actual production or end voluntary-cancellation eligibility. |
| At hub / inspection passed | The garment has reached the inspection stage or passed it. Neither label means delivery to the US buyer. A pass may release vendor earnings but does not waive later valid claims. |
| Shipped to buyer / delivered | Onward shipment or reported delivery. Check the actual carrier and receipt evidence; a disputed scan is reviewable. |
| Seven-day automatic confirmation | An administrative period after the order is marked delivered. It is not a seven-day limit on all complaints and is not the vendor's correction period. |
| Fourteen-day reporting request | Please report visible problems promptly, preferably within fourteen days of receipt. An app dispute-window restriction does not eliminate mandatory remedies or make a latent defect impossible to report by support. |
| Seven-day vendor correction dispatch | For an agreed return correction, counted after the vendor receives the returned item, unless a written extension applies. It is not the promised time for the buyer to receive the corrected garment internationally. |
| Case update or correction target | A recorded next action and date for the specific case. A missed target requires explanation and escalation, not an indefinite renewal or extension of a legal refund deadline. |
| Refund processing / succeeded | Processing means initiated, not necessarily credited. Provider success and bank posting should be checked separately. Failed payments require follow-up, not an automatic resolved label. |
| Closure requested / completed | A pending reconciliation process versus completed loss of account access. Neither status automatically cancels orders, forfeits refunds or erases lawful transaction history. |
